Step 1

The first step is to put your jobs into the system. This is called the "Active Job Summary Sheet." It is a Snap-shot of every job in your shop. The "Gray Ball" indicates that an invoice has been issued for this job. Clicking the ball shows the invoice and give you an opportunity to edit it. The three balls on the right are the "Job Edit Screen", "Job History Screen", and "Preliminary Lien Data Screen" respectively. The Yellow jobs are the jobs currently active meaning they have labor going into them daily.

Step 2

Each day you have to enter your labor into this "Labor Entry Screen." To do that select the job (from a drop-down list) and get this screen. You enter all activity for that day including labor, equipment, rental equipment, and materials. Labor Entry is fast and easy because all your employees, equipment, rental equipment, and materials are in the system. To make a labor entry for an employee, pull down the list (in the upper left) to that employee, enter the date and hours. You probably have someone doing this now so this will be easy for them.

Step 3

With the labor, equipment, and materials in the system you can pull an Invoice (or partial invoice) from the system instantly. Take a GOOD LOOK at this screen. It was created in ONE CLICK by selecting the job. The invoice is AUTOMATICALLY PREPARED including everything you see here. The system gathers labor, equipment, and materials (since the job began) and compiles it as shown here. All pricing is automatic because your labor, equipment, and material rates are in the system. Note (at the bottom) that you can create a full or partial invoice - a daily from date to date.

Step 4

You can edit your invoice if it isn't quite right. The system allows you to add additional lines in the labor, equipment, rental, and material sections. You can also adjust the hours and the rates. You can delete line items by blanking out the line. After making adjustments click "Update this Invoice" at the bottom and your invoice is permanently updated. When you are ready click "Print this Invoice" and the system puts the invoice into Microsoft Word where you can further modify it, print it, and save it for your records.
